The great conundrum: tablet, phablet or laptop?

It seems like at least once a week I get asked my opinion on purchasing a laptop, phone or tablet. In my personal & professional circles, the questions usually revolve around Apple products, but I’m a firm believer that each product should be evaluated in light of it’s intended use.  I have Apple, Microsoft & Google products and each one has certain things they are good at.
So, do you need to buy a laptop? Our lives are increasingly leveraging the cloud in some way, shape or form.  Most email services are hosted, much content is consumed from Netflix, Hulu & YouTube, and more and more files are saved in OneDrive or Dropbox.  Meanwhile, the proliferation of viruses or Ransomeware makes storing files locally on a hard-drive increasingly risky.  Even for photos, I unequivocally recommend that they be backed up to the cloud in some way shape or form – I hear stories all too frequently about losing photos that literally cannot be replaced, not to mention important files.  The “3-2-1” rule applies for backups of important data: keep 3 copies of your data in on 2 types of media, with at least 1 in the cloud.
For me personally, I’m increasingly using my iPad Pro for email, note-taking, and even files.   In my role, I’m constantly interacting with people or producing content (be it blogging or proposals).   I find that there are a couple of reasons for this.   The first is frankly reliability: my iPad will last for days on a battery, has built-in cellular for data access, and never crashes. If I need to check something or reply to someone, it’s only a matter of seconds before I can reliability get to what I need.   Secondly, is the singularity or duality of the apps. What I mean is, when I put the iPad in full screen mode (either landscape or portrait), it has my full attention.  On my computer, there is always some pop-up or alert or task bar to remind me that I have 30 windows open.  On the iPad, there’s only one, maybe 2.   I will frequently use the Mail app and the slide-over feature with Calendar.  Either way, the app has my full attention regardless of whether I’m emailing a client, colleague, or participating in a conference call.  I have my alert notifications set so that only alerts with a high enough priority can distract me.  For example, I use VIP notifications for key people so that I can see any emails they send right away.  Third: Almost everything that I do is in the cloud – Email with Office365, Evernote, Dropbox, or web-browsing.
For most people today in high school or college, I think it’s to the point where an iPad is more practical & valuable – better battery life and near-100% success rate of delivering on any tasks that are cloud-supported.   For entrepreneurs, an iPad will likely be more portable and easier to use for the majority of tasks than a laptop.
The exception in my mind is desk work – I’m a huge advocate for a dual monitor configuration in home-office or actual office, but usually a desktop computer will be cheaper and deliver better results than an iPad.  Alternatively, the cost to buy a powerful laptop that can run a dual monitor workload at home can be the same cost as an ipad +desktop.   If you’re in the Microsoft world and have the corporate IT to support it, a Microsoft Surface is extremely portable and has a nice docking station at home that just clips in to power a monitor/keyboard/mouse, etc. On a similar pattern, my MacBook with USB-C connectivity allows for ease of connecting as well.
That said, increasingly I’m recommending that people who are debating an iPad vs laptop, start out with an iPad Pro with keyboard.  If it doesn’t work or is limiting, then simply return it to the store within the 2-4 week time frame and buy the laptop.  At the very least, you’ll know what works for you, and at the best, you’ll save several hundred dollars.
Side note: I know more than 1 person who have spilled a drink on a laptop in a coffee shop, resulting in a very costly mistake.  Spilling a drink on an iPad Pro keyboard just means wiping off the water-resistant keys.  If your job takes you near coffee a lot, the water-proof keyboard will help a lot.
Buying trick: here’s a secret of buying Apple products, it’s hard to find, but on Apple.com there is a semi-hidden area where they sell refurbished items.  A refurbished item is a brand new product that was sold, a problem was identified, and then fixed, double-checked and is being sold with full warranty.  The product will be just as good as new, and will save you several hundred dollars. For example, a tablet might be $300 instead of $500 and a laptop might be $800 instead of $1100.   Well worth it, in my humble opinion!

A radical approach: Rethink your meeting strategy

Increase results with a few simple tips

A new approach to efficient meetings:

Much of a business day is spent in meetings, so why is so little effort put in to designing a meeting? When a 10 people who make $50 an hour gather for one hour, that essentially costs $500.  If each of those people drive $200 in revenue for the company by their job function, now that meeting just cost you $1000.   To add insult to injury, think back to how many of the past meetings you would consider to be “excellent.” Unfortunately it’s all too rare and yet easy enough to change with a simple, but radical approach.
Many years ago I heard Cameron Herald (Author of Meetings Suck: Turning One of The Most Loathed Elements of Business into One of the Most Valuable) say that there’s really only one reason that so many meetings start late, and it’s because the prior meeting didn’t end early enough to allow for a transition.  To expand on that a little further, it means there wasn’t enough margin prior to allow time to dial-in, squeeze in a restroom break, of frankly, simply show up.    He presented a simple outline for a successful meeting that I’ve continued to adopt and refine for many years and it goes like this:
When setting up a meeting, decide in advance if the meeting is for:
  • Information sharing
  • Creative discussion / brainstorming
  • Consensus decision
Every meeting can only be one of these and an appropriate time should be allotted.  Setting the purpose in advance allows participants to prepare and be able to contribute to the meeting, as well as ensure that the meeting is “successful”.
Information sharing: many meetings are simply to convey critical/time-sensitive/inside information.   In such a meeting, the host should be prepped to share that information as efficiently and effectively as possible and participants should be prepared to take notes and respect the host’s purpose.   In such a meeting, there’s no need for rapist trail, brainstorming. If there are multiple people that need to share information (for example department heads reporting in) then time can be allocated as such.
Creative discussion / brainstorming: There are lot of times that a couple people need to simply brainstorm without the pressure of deciding something or one person ‘hogging’ the meeting with a data dump.  Such a meeting should be scheduled during optimal times when creativity can be fostered, and likely the only one of the 3 meeting types that should ever be “off-site”.
Consensus Decision: If a leader has already made a decision, then an ‘information sharing’ meeting is likely appropriate, but there are times when 2 or more people need to come to a consensus decision.  Designating a meeting as such ensures that all participants come prepared and have the agreed-upon goal of deciding something by the end of the time frame.  Ideally, a host should send out the decision options ahead as well as background meeting.
Following this purpose structure will greatly enhance the efficiency of most organizations. I can’t tell you how many meetings I’ve been in when a decision needed to be made and a lot of time was spend conveying information that should have been sent prior, or it turned in to a brainstorm of options available with no actual decision made by the end of the meeting.
Building in margin: all meetings should be set with a margin of time, for example a hour meeting should be set for 50 minutes.  This allows everyone to have a few minutes to transition to their next activity and if all meetings adhere to this, then over time, most meetings will start on time.
Productivity tip: if you use GMail for your corporate email, there is a setting in “Calendar” that will auto-set all 1 hour meetings to 50 minutes and 30 minute meetings to 25, etc.   Other email platforms have similar settings as well.

Running a meeting effectively:

Always create, and disseminate, an agenda.  Some companies go so far as to encourage employees to ‘decline’ meetings if the calendar invite appears with no agenda.  Truth-be-told, a meeting with no agenda shouldn’t happen.
Set roles for each meeting: the Chair, a time keeper, participants, and a closer.
The Chair:  sets the meeting purpose and defines the agenda, and ensures that the entire agenda is reasonable and appropriate at the start, and that it is covered in it’s entirety.
The Time Keeper: is designated to ensure that the meeting progresses, and wraps up in time. This person also obtains a free pass to help encourage the conversation to be even (i.e. prevent one person from monopolizing the whole time).
The participants: should come ready to contribute, not be distracted (phones away, laptops off or disconnected from WiFi) and help.  They should also setup a “parking lot” for off-topic ideas that come up, and take notes on the meeting:

It’s said that “vision without execution is hallucination” and having a clear purpose for a meeting with a defined outcome is one of the best ways to do so.  Building in 5-10 minutes of margin for every in-person meeting or phone call will ensure that meetings start and end on-time.

Starting a balanced year personally and professionally

Rethinking what vacation means

Begin with balance in mind

“Build a life you don’t need a vacation from.” At first glance, I chalked this sentiment off as another get-rich-quick mantra. But then I began to wonder why it sounded so crazy to me… Why is it that we over-extend ourselves so much that we need a “reprieve” or “vacation” from our “normal” lives? It seems like 95% of us over-commit, over-multi-task, and leave no margin in our schedules, and then we are surprised to find ourselves burned out and empty. Where is the balance in our lives?

 

As 2018 begins, it’s a new year for gym memberships, budgets, goals, and resolutions. This month, millions of people are reflecting on last year, reprioritizing commitments, and setting goals. Sadly, over 50% of those goals will be abandoned within a few weeks. Here are a few ways to make sure your life in 2018 is well-balanced and you don’t feel the need to escape from it.
Evaluate holistically.

 

Don’t just set goals for one category, but consider each one of these areas:
  • Personal: Where you want to be with personal development and stress level? How can you get closer to where you want to be? Maybe its learning a new language or advancing your education. Or maybe its the reverse: quitting a hobby or extra activity to create a little more breathing room for you.
  • Family:  Having a work-life and family-life balance is so important. I’m realizing more and more each year just how important it is. Both research and personal experience has made me an advocate of family time. Cheating family and relationship time only sabotages vocational productivity.
  • Health: Physically, our bodies are “us”, so finding a balance of activity and healthy eating will positively impact every other area of our lives. Consider the 80/20 principle: small amounts of adjustment can have a monumental impact. For example, even 20 minutes of exercise 3 days per week is incredibly valuable for your body. If you feel like you haven’t reached your goals in the past, set more realistic and achievable goals for yourself. You may surprise yourself with the results.
  • Vocation: Love what you do, and you’ll never work a day in your life. I work hard, and by many standards, a lot, but I love what I do. I work toward measurable goals. Become a time-ninja this year and push yourself to focus on the major goals that will help you vocationally.
  • Spiritual: We’re only on this dusty earth for a short period of time, and while I’m all about maximizing that time, I’m a big believer more than ever that it should be done with eternity in mind. As you start the year, take a look a look inward, upward, and outward.
Ultimately, it all comes back to one thing: margin. Each aspect of life needs some built-in margin, or breathing room. Consider how you can add margin into your daily work schedule. Instead of filling your day with back-to-back one hour meetings, book 50 minute meetings and use the extra 10 minutes to take a stretch break or get a water refill (another good habit for a healthy life). Most meetings start late because of a tardy ending to the prior meeting. Consider how you can build margin into your personal commitment load. Only add activities that you are willing to fully commit to, and leave some evenings or weekends with blocks of purposefully available time.

 

When you lead a well-balanced life, you give attention to all categories of life and recognize how each area impacts the others. Keep the holistic view in mind, set SMART goals, and strive to create a life that you don’t NEED to vacation from to survive.
After reflecting upon the click-bate quote, I decided that I still recommend and enjoy vacations, but for the purpose of resting, reflecting, and disconnecting. Vacations should NOT be a time for escaping a dissatisfied life. Spend some time fine-tuning all areas of your life, and you’ll be more successful than ever. Still take vacations, but do your best not to overcommit. When you stop drowning yourself with commitments, you’ll find that you can push yourself to new heights and enjoy it.
